Privacy Policy

1. Overview

AI Notes Taker is designed with privacy as a core principle. Audio transcription happens entirely on your device. This policy explains what data we collect, why, and how we handle it.

2. Data That Stays on Your Device

The following data never leaves your Mac:

  • Audio recordings — stored locally in the app's data directory.
  • Transcripts — generated on-device by WhisperKit and stored in a local SQLite database.
  • Dictionary entries and shortcuts — stored locally.
  • App settings — stored in macOS UserDefaults.

3. Data Sent to Our Server (Pro Feature Only)

If you use the AI summarization feature (Pro subscription), the following is sent to our Cloudflare Worker API:

  • Transcript text — sent for AI summarization. It is forwarded to Google's Gemini API for processing and is not stored on our server after the response is returned.
  • License key — sent with each request to verify your subscription status.

We do not send audio files to any server. Only the text transcript is transmitted when you explicitly click "Summarize."

4. Data We Store

For subscription management, we store the following in Cloudflare KV (a key-value store):

  • Your email address (from the payment provider).
  • Your license key.
  • Subscription status and payment dates.
  • Monthly usage count (number of summarizations).

We do not store transcripts, summaries, audio, or any content you create.

5. Third-Party Services

The App uses the following third-party services:

  • Google Gemini API — processes transcript text for AI summarization (Pro only). Subject to Google's Privacy Policy.
  • Paddle / Ko-fi — processes payments for Pro subscriptions. Subject to their respective privacy policies.
  • Resend — sends transactional emails (license key delivery). Subject to Resend's Privacy Policy.
  • Cloudflare — hosts our API and stores subscription data. Subject to Cloudflare's Privacy Policy.

6. Cookies and Tracking

The App does not use cookies. The website (aitranscript.app) does not use tracking cookies or third-party analytics that collect personal data.

7. Data Retention

  • Subscription data (email, license key, status) is retained as long as your subscription is active and for up to 90 days after expiration.
  • Transcript text sent for summarization is not retained — it is processed and discarded immediately.
  • Local data (recordings, transcripts, notes) persists on your device until you delete it.

8. Your Rights

You have the right to:

  • Request a copy of the data we hold about you.
  • Request deletion of your subscription data.
  • Cancel your subscription at any time.

9. Children's Privacy

The App is not directed at children under 13. We do not knowingly collect personal data from children.

10. Changes to This Policy

We may update this policy from time to time. Changes will be posted on this page with an updated date.
